WTBOA Board of Trustees Meeting Minutes – April 2022

WTBOA Foal

April 6, 2022

WTBOA Board Members Present: Melodie Bultena, Pam Christopherson, Mary Lou Griffin, Dana Halvorson, Henry Leong, Petra Lewin, Debra Pabst, Jenny Webber.

WTBOA Board Members Absent: Jim Engstrom, Nina Hagen, Dr. Duane Hopp, Greg Luce.

WTBOA Staff Members Present: Ann-Kathrin Zemann.

The meeting was called to order at 12:23 p.m. via zoom by President Halvorson.

Previous Board Minutes: Minutes from the February 23, 2022, meeting were presented and reviewed. Griffin moved to approve the minutes as presented. Leong seconded the motion. The minutes were approved.

Finance: The Finance Committee discussed sending out another notice in regards to membership renewals or to acquire new members for the WTBOA, possibly emphasizing the benefits one gets with being a member (i.e. Sales Incentive Programs, Washington Homebred Incentive Program, etc.).

This year’s Annual Awards Banquet generated more funds without the silent auction, than last year’s online banquet including the silent auction. 177 people paid their tickets in advance, approximately 20 people paid at the door. The silent auction will be held in May as a fundraiser.

There is still one unpaid season from the last Stallion Season Auction. Pabst stressed that we have to make sure, that the party liable is not able to breed its mare. For that, we have to contact the farm, where the stallion is standing.

Furthermore, the Finance Committee discussed Blue Chip Thoroughbreds outstanding debt. It was decided that the case will be given to a collection agency. He still owes the WTBOA over $7,000 stemming from the 2020 sale. Zemann will look into collection agencies and will report at the next meeting.

Northwest Race Series: Currently the NWRS has $124,831 to distribute. There may be additional late nominations. Deadlines for late nominations will be May 13 for $3,500 and June 24 for $5,000.

There are $ 36,491 in the Sales Incentive Program fund and $9,971 in the Washington Homebred Incentive Program Fund. These funds are enough to cover last year’s bonus payments but we might have to add money to these funds as time goes on.

Sales: As of now, there are 75 yearlings nominated for this year’s sale in August. These horses have been nominated within the Early Bird Nomination deadline, that ended March 25, 2022. The Board discussed possibilities to get more horses nominated for our sale, possibly reaching out to more owners and non-members. Webber agreed to look into that.

The late nominations for the Yearling Summer Session close April 29, 2022. Mixed sale entries close mid May.

The next sales committee meeting is scheduled for April 13, 2022.

Publications:  Sweet and van Dyke are working on the Spring/Champions issue. Sweet is working on the magazine, catalog and website as Zemann gets more familiar with the process. Zemann will send out emails to possible advertisers, as well as the award recipients of this year’s banquet, to inquire if they would like to advertise in the spring issue of the magazine.

WHRC/Emerald Downs update: There will be no race meet held at Sun Downs due to insurance technicalities.

Old Business: Halvorson mentioned that House Bill 1928 will be resubmitted for next year. It might have a better chance of success, since it will be a longer session next year.

Awards Banquet: Zemann announced the date for next year’s Annual Awards Banquet, which will be held on February 25, 2022 at Emerald Downs.

Goals and Initiatives: Nothing to report.

New Business

Online Fundraising Auction: It was decided that the Online Fundraising Auction will be held as a timed auction starting May 26, 2022 and ending May, 31 2022 at 8 p.m. Zemann will send out a list of items that were auctioned off at last year’s auction. The board agreed to help with procuring items.

The next meeting will be held May 18, 2022 at 12:15 p.m.

It was moved by Griffin and seconded by Pabst to adjourn the meeting at 1:07 p.m. The meeting was adjourned.
